This privacy notice should be read in conjunction with our general Privacy Statement and privacy notice for children and young people.
The purpose for the personal data we will collect
We collect personal data:
- for statistical purposes
- to secure sufficient childcare to improve the outcomes of all children under 5
- to check eligibility for means-tested entitlement for 2-year-old children
- to ensure accuracy of records across the local authority and to check against fraud
- to share information with our local partner organisations and agencies, where there is a safeguarding concern
What information do we collect?
We collect:
- parent/carer and child’s names
- parent/carer and child’s date of birth
- child's gender
- parent/carer and child’s contact details
- childcare provider names
- child's ethnicity
- child's CLA and adoption status
- parent/carer's details of state benefits
- parent/carer’s details of immigration status
- parent/carer’s details of income
- child's DLA code
Lawful basis for using your personal data
Our legal obligation or public task under UK legislation includes, but is not limited to:
- Childcare Act 2016

We may share your data with:
- our own teams, including early years support teams
- our local partner organisations
- Department of Education
- HMRC
- early years and childcare providers
- children’s centres
- health services (anonymised)
- parents/guardians
Retention of data
Data will be stored securely and retained for 7 years or in accordance with our retention schedule.
Your rights under data protection law
You have the right to request a copy of the personal data we hold about you or a child under your parental responsibility. These rights extend to a child over the age of 12.
You have:
- the right to request a copy of your personal information that we hold
- a right to rectify inaccurate information
- the right to object to processing of personal information (the data would be restricted whilst we consider the balance of our grounds for processing which may delay or prevent us delivering a service to you)
